Instructions for presenters

Here we provide instructions for presenters at 22nd IWLR. Please take a few moments to read through all the sections relevant to your presentation (oral/poster, online/in person). Please note that after the conference, we will upload the presentation materials to the workshop website, unless authors request us not to.

Guidelines for poster presentation

All posters will be available in the communication platform Slack¹. Conference participants will receive an invitation to join the Slack 22IWLR workspace of the poster sessions. Here poster authors and participants will be able to interact during the conference.

File formats: the only acceptable format is a single-page PDF. If we received a file in a different format, we may attempt to convert it to a PDF document, making absolutely no guarantees as to the result achieved.

You must send your poster file to 22iwlrsubmissions@oan.es by Thursday 3th November . If the file size is too large, please use an online file sharing service. If absolutely necessary, we could provide an invite to use our institutional file sharing service.

We will send a confirmation acknowledging receipt of your file, and proceed to upload it to its individual channel in Slack.

All poster authors have the opportunity to prepare a 2-minutes lightning talk video presenting their work. These will be linked to from the Slack channels of their respective posters. The format of the talk is free, with a recommended maximum limit of five slides if prepared in presentation style. It is not mandatory to record a video, but highly advisable.Videos must be sent by Wednesday 2nd November to ensure their timely upload.

In person posters

For poster presentation at the venue, please note:

• Poster dimensions: A0 (841×1189 mm), either portrait or landscape orientation are possible.

• Bring your poster printed.

• You will receive an ID code to identify the assigned stand (see Detailed Program). Tape will be provided to hang the posters (to be done by lunch break on Tuesday 8th November at the latest).

Sessions: Posters will be displayed from Tuesday to Thursday. In-person participants will be able to see them during all coffee breaks (30 minutes twice a day). There is a dedicated Posters & Sponsors session on Tuesday 8th November, starting at 16:30. In person poster presenters should be available nearby to engage with other participants (it is not required to stand by the posters during coffee breaks!)

Online posters

There will be no special times to view the virtual posters, as they will be accessible online in Slack for the whole duration of the conference. We hope that the virtual posters result in an engaging space for comment and discussion for all posters presented. The interactions in Slack should be understood to be asynchronous rather than live, accommodating users from different time zones: please do not expect a live chat.

Guidelines for abstract submission

Abstracts of the poster contributions, with a maximum length of 300 words, must be written in English using the templates provided here (docx or odt format). Please do not introduce any format changes to ensure the uniformity of the submissions.

Submissions must be sent to 22iwlrsubmissions@oan.es in pdf and one of odt/docx, indicating in the subject line the topic and the preferred type of presentation (oral or poster). Please choose the topic of your contribution among the following ones:

• The wider context: ILRS, synergies with other services/techniques, TRF, GGOS…

• Science and Analysis: analysis results, new strategies, POD, scientific missions support, data quality, systematic errors, assessment of network performance

• Engineering: trends in SLR technology, station upgrades, new and future systems

• Lunar Laser Ranging and Deep Space Missions: analysis, new lunar retroreflectors, station updates, new missions, transponders

• Operations: automation, calibration and co-locations, safety, scheduling

• New Technologies/Applications: space debris, time transfer, optical communications...

• Missions: recent results, ongoing support and future launches

Please note that this list is not definite nor exhaustive. If the topic of your contribution is not explicitly listed here use the most general category where it may fit in.

• Extended Submission deadline: 25 September 2022

• Notification of accepted oral presentations (extended date): 9 October 2022

• Presenter registration deadline (extended date): 16 October 2022

• Orientation: preferred vertical

Please note that the abstracts of accepted contributions will be published online. Licensing details will be notified in due course, but a liberal license (such as CC Attribution should be expected).
